Data Protection Policy 

Centre for London is a charity and a think tank. Our mission is to develop new solutions to London’s critical challenges and advocate for a fair and prosperous city. In the course of our work we collect and use data about individuals. We understand that this data needs careful and respectful handling. This policy has been developed to ensure that Centre for London abides by the spirit and the letter of data protection laws and regulations. 

We hold data on individuals and organisations for a number of purposes:  

Operations 

We keep contact details and related information on our suppliers and funders – info we need to contact them, pay and invoice them.  

Research 

We keep contact details and related information on organisations and individuals who can or do contribute to our research projects, including academics and researchers, politicians and policy makers and business, public and third sector experts.  

Events 

We keep contact details and related information on organisations and individuals that we have invited to events, or that we believe might want to attend our events, either as speakers or attendees. 

Communications 

We keep contact details and related information on organisations and individuals with an interest in our research findings, arguments and recommendations. These include journalists and other public affairs and communications professionals, politicians and policy makers, academics and researchers and members of the general public who have expressed an interest in our work. 

When you subscribe to our newsletter, you are consenting for us to email you Centre for London email updates, including our newsletter, new reports and event invites. By signing up to our email updates, you are agreeing to the terms and conditions of our mailing list provider MailChimp.com (http://mailchimp.com/legal/terms/). You can unsubscribe from our mailing list by clicking the ‘unsubscribe’ link in any email we send you or by emailing hello@centreforlondon.org letting us know to unsubscribe you from future newsletter communications. 

Occasionally we contact organisations and individuals who may be interested in speaking to the media about issues covered in our research programme. The information we keep (name, contact details, occupation) is stored securely and kept for no longer than necessary. We never give out your contact details without your permission. You can withdraw consent at any time by contacting hello@centreforlondon.org. 

Development 

We keep contact details and related information on individuals who have funded us in the past, or with whom we have had fundraising exchanges or who we have identified as potential funders, because of the nature of their work and interests. Individuals include those working for businesses, public and third sector organisations and private individuals who have supported similar organisations or have shown an interest in the issues on which we work and who, we believe, might be in a position to support our work. 

Staff records 

We hold records on current and former staff performance, salaries, contracts, recruitment. We keep personal data in the form of CVs and cover letters for recruitment purposes. By submitting a job application to us, you consent to Centre for London retaining your personal data for that purpose. In accordance with GDPR all information submitted by unsuccessful applicants will be deleted within six months. 

Our Policies 

Centre for London will: 

  1. Only collect data on individuals who fall into the above categories
  2. Not sign individuals up to our newsletter or other regular mailings, unless they request it or agree to it, other than where an individual has shown a strong interest in or commitment to Centre for London’s work – e.g. trustees, sponsors and donors, research partners and members of our advisory boards or regular attendance at our events.
  3. Not share data with other parties without the express permission of the individual.
  4. Only record information that is strictly necessary for the purposes for which data is collected andin particular willnot record personal or speculative judgments about individuals. 
  5. Make available all data we hold about an individual to the individual when requested.
  6. Make it easy to opt out of our communications, including newsletter subscription and events invitations and requests for funding, through prominent “unsubscribe” options
  7. Keep data secure – through: maintaining high levels of security and reviewing security policy at least once a year
  8. Be transparent about the purposes for which we collect data and how we use it, including by making this policy available on our website.
  9. Keep all staff records secure and separate from shared organisational files, so contractual information and performance information is only accessible to senior management.
  10. Forbid all staff from using personal data for non-Centre for London related activities or from taking personal data with them when they leave Centre for London.
  11. Ensure all staff are familiar with our data protection policies and comply with them.
  12. Ensure our policies are regularly reviewed and kept up-to-date and compliant with GDPR.
